1. Reporting to Head of 3 Divisions 2. Manage, organize and maintain the Executive Directors' time calendar, scheduling and reminding appointments 3. Take initiative to make minor job-specific decisions in the absence of Executive Directors 4. Make travel arrangements for the Executive Directors, which includes reservations (VISA applications, airline, car rental, local ground transportation, hotel, meals etc. 5. Maintain office supplies for 3 division handled, in collaboration with the administration department and keep an up-to-date record of all stock inventory levels to order/acquire supplies needed 6. Manage all secretarial & administration duties such as arranging meetings & conference calls, handling Director's schedule/agenda, taking minutes, documentation/filing corporate master data, handling business travel arrangement (VISA, accommodation, ticketing & car reservation), handling expense and medical claims for Directors. 7. File and update contact information of employees, customers, suppliers and external partners 8. Make a tidy report of Executive Directors' travel, meeting, event and/or daily expenses, and settling it to the Finance Team. 9. Helping file, registering and update the Division Vendors/ Clients10. Supporting the administration duties for HR Department, bu updating employees Leave report and any allowances claims.
